COLLECTING INFORMATION ON REGISTERED MEMBERS

  1. As part of registering with us, we collect personal information about you in order for you to take full advantage of our services. To do this it may be necessary for you to provide additional information to us as detailed below.

STANDARD REGISTRATION

  1. Registration is completely optional. Registration may include submitting your name, email address,telephone numbers, option on receiving updates and promotional material and other information. You may access this information at any time by logging in and going to your account.

SCHOOL / TEACHER REGISTRATION

  1. When a teacher registers their students they give consent for us to collect data on their students to participate on ClassCoach. Prior to sending us any personal information about their students, it is the teacher and school’s responsibility to ensure that:
    1. they have followed all appropriate school policies and guidelines; and
    2. the students concerned have authorised the collection of the information and where the students are under the age of 13 the students’ parents/guardians have authorised the collection of the information.
  1. Teachers and/or school leaders registering their class or school must give their consent at the time of registration to provide us with their own name, class name, school name and their email address. Additionally, teachers and/or school leader must consent for their students to participate at the time of registration and provide us with the names and email addresses of their students. We use this information to
    1. send a confirmation email to the student of the registration and for them to create their own password
    2. upon the student’s request, to reset a password for a lost or forgotten password
    3. to respond to any questions, concerns or problems raised by the student
    4. to contact the student about any problems with their account or conduct on the Site
    5. provide reminders, guidance and recommendations to students based on the results and analytics of student results.
  1. ClassCoach collects student data and information from quizzes and tutoring sessions to display to the student’s teacher and/or school leaders. This data may be used by the school to tailor class and/or individual sessions for students to help improve their mathematics. Personal student data and information from quizzes and tutoring sessions is only available for viewing by the students teacher and/or school leadership.
  1. In cases where the school has organised tutoring for the students, the school must obtain parents’ consent.
  1. If students choose not to give personal information to us, they will not be able to use ClassCoach.

EMAILS

  1. ClassCoach will use emails as the form of communication between parents and/or students. ClassCoach uses personal data collected from student quiz results and tutoring to identify areas that require further attention. Some email messages that the student and/or parent will receive can include
    1. An email to reset your new password if you were to forget your existing one
    2. An email(s) reminding you about your recommended topics or other work for the student to complete to cover or work that has been assigned by the student’s teacher (if registered as a ClassCoach school)
    3. Emails that will help the student to further understand the path to follow to help build your understanding, knowledge and confidence in mathematics.
    4. Weekly/ monthly reports sent to the student’s parent/guardian outlining student results for the period and outline focus areas for the student
  1. You can opt out of receiving ClassCoach emails by following the instructions at the bottom of each email

DISCLOSURE

  1. Apart from where you have consented or disclosure is necessary to achieve the purpose for which it was submitted, personal information may be disclosed in special situations where we have reason to believe that doing so is necessary to identify, contact or bring legal action against anyone damaging, injuring, or interfering (intentionally or unintentionally) with our rights or property, users, or anyone else who could be harmed by such activities. Also, we may disclose personal information when we believe in good faith that the law requires disclosure.
  1. We may engage third parties to provide you with goods or services on our behalf. In that circumstance, we may disclose your personal information to those third parties in order to meet your request for goods or services.

SECURITY

  1. The Site does not provide students with any means to communicate directly with each other. There are no student to student chat rooms or tutor rooms connected on the website. At all times, students are engaged in meaningful educative activity within a secure environment.
  1. We strive to ensure the security, integrity and privacy of personal information submitted to our sites, and we review and update our security measures in light of current technologies. Unfortunately, no data transmission over the Internet can be guaranteed to be totally secure.
  1. However, we will endeavour to take all reasonable steps to protect the personal information you may transmit to us or from our online products and services. Once we do receive your transmission, we will also make our best efforts to ensure its security on our systems.
